These Terms of Use (“Terms of Use”) apply to any attendance of, or participation in the Digital Adoption Summit 2025 being held and organized by Whatfix (“DAP Summit”), and all use of the DAP Summit website available at (”Website”) and including all of the materials, documents, text, images, graphics, animation, videos and other information and content included in or available at the Website (“Content”).
The Summit is organized by and the Website is operated and owned by Whatfix Private Limited (Formerly known as Quicko Technosoft Labs Private Limited), a company incorporated under the Companies Act, 2013 and having its registered office at 1289 / 1090e, 18th Cross Road, Sector 3, HSR Layout, Bengaluru, Karnataka 560102, and its affiliates (“Whatfix”). For the purpose of these Terms of Use, wherever the context so requires, “you” or “User” shall mean any natural or legal person who intends to attend the Summit and access the Website for registering for the Summit. The terms “Whatfix”, “we”, “us” or “our” shall mean Whatfix Private Limited and its affiliates.
By using the Website, registering for the Summit and attending or participating in the Summit, you agree to be bound by these Terms of Use (this “Terms”). The Terms shall be deemed to include all other operating rules, conditions, policies and procedures that are referred to herein or that may otherwise be published at the Website by us from time to time, including without limitation, the Privacy Policy (“Privacy Policy”).
BY (1) ACCESSING OR USING THE WEBSITE, (2) REGISTERING FOR, ATTENDING OR PARTICIPATING IN THE SUMMIT, OR (3) OTHERWISE INDICATING YOUR ACCEPTANCE OF THESE TERMS, YOU AGREE TO THE TERMS AND ANY APPLICABLE SUMMIT TERMS AND CONDITIONS, AS SET FORTH BELOW (COLLECTIVELY, THE “AGREEMENT”). YOU HEREBY AFFIRM THAT YOU ARE OF LEGAL AGE TO ENTER INTO THE AGREEMENT. IF YOU OBJECT TO ANYTHING IN THESE TERMS, YOU MAY NOT ACCESS OR USE THE WEBSITE OR REGISTER FOR AND ATTEND THE SUMMIT. THESE TERMS ARE SUBJECT TO CHANGE BY WHATFIX AT ANY TIME, EFFECTIVE UPON POSTING ON THE WEBSITE, AND YOUR USE OF THE WEBSITE OR REGISTERING FOR THE SUMMIT AFTER SUCH POSTING WILL CONSTITUTE ACCEPTANCE BY YOU OF SUCH CHANGES. THESE TERMS OF USE GOVERN THE RELATIONSHIP BETWEEN YOU AND WHATFIX.
This Agreement is effective between you and Whatfix, as of the date of you registering for the Summit and accepting this Agreement. Without limiting any other remedy under the Agreement or applicable law, if you fail to comply with these Terms, Whatfix may take any action it deems appropriate in response, including cancelling your Summit registration.
REGISTRATION
To attend the Summit, you must register for the Summit through the Summit registration Website. The registration process may require you to provide your name, job title, company name, city which you reside in, telephone number and work email address. By clicking ‘Register’ or ‘I Agree’, you acknowledge that you have read, understood, and agreed to be bound by these Terms. You will receive a registration confirmation email at the email address you provide during registration.
Whatfix does not charge any fees for registration for the Summit. Whatfix reserves the right to reject or cancel your registration, or terminate or deny your access to, attendance or participation in the summit, at any time, in its sole discretion. or terminate any coupons or discount offers that may be provided to you. Whatfix reserves the right, in its sole discretion, to invite you to register for the Summit. Whatfix also reserves the right, in its sole discretion, to provide any coupons, vouchers, passes (including but not limited to accommodation and travel) which shall be governed by such terms and conditions as Whatfix may deem fit, in its sole discretion.
You represent and warrant that you will be responsible for the accuracy, completeness, quality and legality of any information you provide in connection, when you register for the Summit on the Website. Whatfix will not be liable for any loss or damage arising from your failure to comply with this instruction.
By registering for the Summit, you consent to us using the email address to send you Whatfix product / service-related notices or promotions, including any notices required by law, in lieu of communication by postal mail.
COMMUNICATION
Introduction and Agreement
To assist you and enable your seamless attendance at the Summit, we may contact you through the email address / phone number provided by you, and through Whatsapp communication application. By providing your email address and phone number, you consent to receiving emails, phone calls and text message / calling communication on Whatsapp from us in relation to the Summit, and you acknowledge that you have read, understood, and agree to be bound by the terms outlined in this Communication section, as well as the Terms and Policies in such communication. If you do not agree with this section, please do not provide your consent to receive communication through emails or text message / calling communication on Whatsapp.
Consent to Receive Messages
By providing your email address and phone number and explicitly consenting to receive Whatsapp communications from Whatfix, you grant us permission to send you emails, text messages to and / or calling the phone number you provided.
Types of Communications You May Receive
Depending on your interaction with Whatfix, you may receive communication related to the following categories:
Registration Updates: Confirmation regarding your registration for the Summit.
Summit Updates: Information regarding Summit timings, venue details, various events and activities at the Summit, changes to the Summit, and so on.
Managing Your Preferences and Opting Out
You have the right to withdraw your consent to receive communication at any time. You can opt-out through the following methods:
Replying “STOP”: Texting “STOP” to any Whatsapp message you receive from us will generally opt you out of further messages of that type. You may receive a confirmation message.
Contacting Us Directly: You can request to be removed from our email or Whatsapp communication list by contacting us at privacy@whatfix.com
Standard Messaging Program Details
Data Rates: You acknowledge that standard data charges from your internet / mobile carrier may apply to email / Whatsapp communication sent by us and to you. You are responsible for these charges.
Frequency: The frequency of communication you receive may vary depending on the nature of your registration for the Summit.
We will not share your mobile phone number with third parties for their own marketing purposes.
REPRESENTATIONS AND UNDERTAKINGS
You represent and warrant at all times throughout your use of the Website and registration for / attendance / participation at the Summit that: (i) you have full authority to agree to these Terms, and there is no restriction, limitation, contractual obligation or statutory obligation which prevents you from fulfilling your obligations under these Terms; (ii) you are and will continue to be in compliance with all applicable laws, rules, and governmental (state, local, and community) and regulatory levies and requirements relating to your use of the Website and registration for / attendance at the Summit; (iii) your use of the Website and / or registration for / attendance / participation in the Summit has not been previously blocked, suspended or terminated; (iv) you do not authorize a third party to do any of the foregoing; and (v) you will not infringe or violate any of these Terms.
CONFIDENTIALITY AND RESTRICTIONS ON USE OF CONTENT
Whatfix Content
By attending or participating in the Summit or any event, breakout session, keynote, presentation, demonstration, panel discussion, Q&A sessions, workshop, or other activity, you acknowledge and agree that all content, materials, discussions, and information disclosed, presented, or made available in any form during any such event shall be considered the confidential, proprietary, and non-public information of Whatfix, including but is not limited to, information relating to Whatfix’s products, services, technology, business strategies, financial projections, customer or partner relationships, product roadmaps, feature demonstrations, internal processes, and any future plans or initiatives (“Whatfix Content”).
You agree not to disclose, publish, share, or use any such Whatfix Content for any purpose and in any manner, without the prior written consent of Whatfix. Your obligation to maintain the confidentiality of this information survives the conclusion of the Summit.
General Restrictions
You agree that:
You shall not copy, reproduce, record, photograph, stream, distribute, summarize, publish, or otherwise disseminate any Whatfix Content, in whole or in part, in any form or by any means, including but not limited to social media, blog posts, podcasts, or press reports, without the prior written consent of Whatfix.
You shall not use any Whatfix Content for your own commercial advantage or for the benefit of any third party.
All Whatfix Content and other materials presented or distributed during the Summit remain the sole and exclusive intellectual property of Whatfix or its licensors, and no rights or licenses are granted to you, in any manner.
Attendees under NDA
If you or your organization are already bound by a valid and enforceable non-disclosure agreement (NDA) with Whatfix, your use and handling of Whatfix Content shall be governed by these Terms as well as the terms of such NDA, provided that such use is consistent with the purpose for which the information was disclosed and the terms of the NDA remain in effect.
Exceptions
Media Representatives
Members of the media (journalists, reporters, press) attend the Summit subject to prior written approval from Whatfix for capturing / recording the Summit and comply with media-specific guidelines provided by Whatfix. Media attendees only capture, record, quote, or publish Whatfix Content as may be expressly permitted by Whatfix.
Violation of this section may result in immediate removal from the Summit, revocation of any credentials or access, and may subject you to further legal action, including claims for damages and injunctive relief.
Speaker and Contributor Content
If you participate in the Summit as a speaker, panelist, presenter, moderator, or contributor (collectively, a “Contributor”), you agree to the following terms regarding any content, materials, data, presentations, recordings, remarks, or other information (collectively, “Contributor Content”) shared, submitted, displayed, or otherwise provided by you during the Summit:
Ownership and Rights
You represent and warrant that:
The Contributor Content is exclusively owned by you or your organization, or you or your organization have obtained all necessary rights, licenses, permissions, and clearances from the rightful owner(s) (including your organization (as applicable) or any third-party licensors) to share and grant rights in the Contributor Content;
The use, reproduction, distribution, and display of the Contributor Content by Whatfix will not infringe or violate the intellectual property rights, privacy rights, publicity rights, or any other rights of any third party.
Grant of Rights
You or your organization hereby irrevocably assign, grant, and transfer to Whatfix a perpetual, worldwide, royalty-free, fully paid-up, non-exclusive, transferable license to use, reproduce, publish, distribute, publicly display, perform, modify, adapt, and create derivative works from the Contributor Content in any manner and in any media or format now known or hereafter developed, for any legitimate business purpose, including marketing, internal use, event archives, and future event promotion.
Waiver of Claims
You or your organization waive any right to inspect or approve the use of the Contributor Content or recordings thereof, and any right to royalties or other compensation arising from or related to the use of the Contributor Content or your participation in the Summit.
Indemnification
You or your organization agree to indemnify, defend, and hold harmless Whatfix, its officers, directors, employees, agents, and partners from and against any claims, damages, liabilities, or expenses (including reasonable attorneys’ fees) arising out of or related to a breach of the above representations and warranties or any third-party claim that the Contributor Content infringes intellectual property or other protected rights.
MEDIA RECORDING
Whatfix may be photographing, recording (both audio and video), webcasting, or otherwise transmitting the Summit (including at the Summit venue, during any or all of an event, session, breakout, keynote, presentation or other activity). You may also interact with journalists or media representatives at the Summit. Any discussions, interactions or engagements between you and media representatives (including journalists, reporters, or other members of the press) during the Summit are undertaken at your own risk. By engaging with media representatives, you confirm that you do so voluntarily or are authorized to speak on behalf of your respective organization and, where applicable, to bind your organization to any statements or representations made. If you are not authorized to speak on behalf of your organization, you must refrain from making statements that could reasonably be interpreted as official or representative and binding. Whatfix does not monitor or control such interactions and shall not be responsible or liable for the content, consequences, or outcomes of such media interactions, in any manner.
Your image, likeness, voice, statements and other identifying characteristics (each, an “Image”) may be captured in photographs, recordings (both audio and video), webcasts or other transmissions of the Summit (each, a “Recording”).
You hereby consent to the capturing of any of your Image or Recording and grant to Whatfix a worldwide, royalty-free, fully paid-up, non-exclusive, perpetual, irrevocable, transferable and fully sublicensable (through multiple tiers) license, without any consideration to you or any third party, to reproduce, distribute, perform and display publicly or otherwise, create derivative works of, adapt, modify and otherwise analyze and use Recordings (including your Images therein), in whole or in part, in any format or media now known or hereafter developed, and for any purpose (including for promotional purposes, such as testimonials).
Whatfix exclusively owns all right, title and interest (including intellectual property rights) in and to the Image and Recording, all modifications and derivatives of the Image and Recording, and all proceeds derived therefrom. Whatfix has no obligation to share any such proceeds with you.
You hereby irrevocably waive any right you may have to inspect or approve the use or other exploitation of any Image or Recording or any reproductions thereof, and you agree that Whatfix has no obligation to use any Image or Recording or otherwise exercise any of the rights granted to Whatfix with respect to your Images or Recordings.
Your Images may appear in Recordings made available to the public, and third parties may retain, use or distribute such Recordings. Once made available to the public, Whatfix has no control over, and is not responsible for, any use or misuse (including any distribution) by any third party of Recordings.
Crowd images can be taken during the Summit and any event or activity, and processed by Whatfix for the purposes mentioned above based on the legitimate interest legal basis as defined under GDPR art. 6.1(f). Subject to local data protection laws, you may have certain rights relating to your personal data. The Privacy Policy provides information on the rights associated with the processing of your personal data and how to exercise them.
IN CONNECTION WITH THE USE OR OTHER EXPLOITATION OF RECORDINGS (INCLUDING YOUR IMAGES), YOU HEREBY IRREVOCABLY WAIVE AND RELEASE ANY AND ALL CLAIMS WITH RESPECT TO INTELLECTUAL PROPERTY, RIGHTS OF PUBLICITY, RIGHTS OF PRIVACY, AND ANY OTHER CLAIMS OR DAMAGES WITH RESPECT TO SUCH USE OR OTHER EXPLOITATION. YOU AFFIRM THAT YOU ARE OF LEGAL AGE AND HAVE READ THE FOREGOING RELEASE AND FULLY UNDERSTAND ITS CONTENTS.
RULES AND CONDUCT
Whatfix reserves the right, including without prior notice, to take any security measures it deems appropriate for the safety of attendees and participants of the Summit. You must conduct yourself in a professional and respectful manner. Any harassment, discrimination or disruptive behavior may result in removal from the Summit or any event or activity. You will comply with all such security measures, including the following:
At all times during your attendance or participation in the Summit (including during any event, at any event venue / booth, during any event session, breakout, keynote, presentation or other activity), you will wear your Summit badge such that it is visible to other attendees and participants. You will not share or exchange your Summit badge with any other person. Failure to comply with this requirement may result in the confiscation of your Summit badge and termination of your attendance or participation in the Summit.
Bags may be no larger than approximately 12” x 18” and may be subject to screening upon entry or upon request by Whatfix during the Summit.
You will not leave any bags or other property unattended at any time. Unattended property may be removed.
Except as specifically pre-approved by Whatfix in writing, no persons under 18 years of age will be permitted to attend any event or portion thereof (including any session, breakout, keynote, presentation or other activity) of the Summit, or otherwise be present at the Summit venue, including any other event venue, booth and so on.
Items prohibited at the Summit events include, but are not limited to:
Weapons, firearms, or knives (regardless of size), or items that can be mistaken as a weapon.
Pets or other animals.
Personal mobility devices (with or without a motor) unless for ADA use. This includes but is not limited to, skateboards, hoverboards, bicycles, scooters, uniwheels, and all similar products.
Cigarettes, cigars, vapes or e-cigarettes, as smoking is not allowed within the facility.
Poles and sticks such as selfie sticks are prohibited; mobility canes are allowed.
Flashlights, laser lights, laser pointers.
Mace/pepper spray, tasers, stun guns, or similar devices.
Whistles, noisemakers, and/or sound/voice enhancement devices, such as bullhorns.
Banners, signs, or placards.
Wi-Fi and/or Bluetooth signal disruptors.
Tripods for cameras (does not apply to media).
Inflatable items.
Drones.
Alcohol.
Illegal substances.
You will not bring with you or have in your possession any such items at any time during your attendance or participation in the Summit.
INFORMATIONAL PURPOSES ONLY
All Whatfix Content is provided for informational purposes only, and any other use of the Whatfix Content is expressly prohibited, unless otherwise expressly approved in writing by Whatfix. Whatfix cannot monitor or control how you may interpret the Whatfix Content or your resulting actions, and you hereby agree that Whatfix may take appropriate legal action, including injunctive relief and claims for damages, against any attendee who violates or misuses Whatfix Content.
PROPRIETORY RIGHTS
All right, title, and interest in and to the Summit, Website, Content and Whatfix Content are and will remain the exclusive property of Whatfix and its licensors. Nothing in these Terms gives you a right to use the Whatfix name or any of the Whatfix trademarks, logos, domain names, and other distinctive brand features.
COPYRIGHT AND TRADEMARK NOTICES
Unless otherwise indicated, all Content, Whatfix Content and the Terms of Use are Copyright of Whatfix. All rights reserved. All logos and other proprietary identifiers used by Whatfix in connection with the Summit, Website, Content and Whatfix Content are all trademarks and/or trade names of Whatfix, whether or not registered (“Whatfix Trademarks”). All other trademarks, service marks, trade names and logos, which may appear on or with respect to the Summit, Website, Content and Whatfix Content belong to their respective owners (“Third-Party Marks”). No right, license, or interest to Whatfix Trademarks and/or to the Third-Party Marks is granted hereunder, and you agree that no such right, license, or interest shall be asserted by you with respect to Whatfix Trademarks or the Third-Party Marks and you will not use any of these marks, unless expressly permitted to do so.
COPYRIGHT INFRINGEMENT POLICY
Whatfix takes copyright infringement seriously. We will respond to notices of alleged copyright infringement that comply with the applicable law. If you believe any materials accessible on or from the Summit infringe your copyright, you may request removal of those materials (or access to them) from the Summit by submitting a written request (along with supporting documentation) to legal@whatfix.com.
PRIVACY
Whatfix takes the privacy of its users / attendees very seriously. Any personal data (as defined in the Privacy Policy) collected in connection with your registration for, or attendance / participation in the Summit or during communication with you (including Whatsapp) will be stored or processed in accordance with our Privacy Policy. Where required, we will rely on your consent or our legitimate interest to communicate with you in relation to the Summit and any other events / activities at the Summit. Any transfers of personal data outside your jurisdiction will be protected by appropriate safeguards. Please refer to the Website for the current Summit Privacy Policy.
WARRANTY DISCLAIMER
THE WEBSITE, CONTENT, WHATFIX CONTENT AND OTHER ASPECTS OF THE SUMMIT ARE PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT REPRESENTATION OR WARRANTY OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING, BUT NOT LIMITED TO, THE IMPLIED WARRANTIES OF TITLE, NON-INFRINGEMENT, MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE, AND ANY WARRANTIES IMPLIED BY ANY COURSE OF PERFORMANCE OR USAGE OF TRADE, ALL OF WHICH ARE EXPRESSLY DISCLAIMED.

You agree to defend, indemnify and hold harmless Whatfix, its officers, directors, employees, agents and representatives from and against any and all claims, damages, obligations, losses, liabilities, costs or debt, and expenses (including but not limited to attorney’s fees) arising from:

VOLUNTARY PARTICIPATION AND ASSUMPTION OF RISK
Your attendance of or participation in the Summit or any events or related activities is completely voluntary. Whatfix does not guarantee admittance to all or any part of any Summit or event (including any session, breakout, keynote, presentation or other activity).
TO THE MAXIMUM EXTENT PERMITTED UNDER APPLICABLE LAW, WHATFIX SHALL NOT BE RESPONSIBLE FOR ANY INJURY, ILLNESS OR DAMAGES RESULTING FROM YOUR ATTENDANCE OR PARTICIPATION IN THE SUMMIT. YOU ACCEPT AND ASSUME ALL RISKS OF ANY AND ALL PERSONAL INJURY OR DAMAGE TO YOUR PERSON OR PERSONAL PROPERTY THAT YOU MAY FACE WHILE ATTENDING OR PARTICIPATING IN ANY EVENT OR ACTIVITY AT THE SUMMIT, AND HEREBY WAIVE ANY CLAIMS YOU MAY HAVE AGAINST WHATFIX, ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS AND REPRESENTATIVES OR ANY SUMMIT SPONSOR OR SUMMIT VENDORS RELATING TO SUCH RISKS.
Whatfix reserves the right, including without prior notice, to limit the number of Summit attendees and participants, to cancel or terminate any Summit registration, to bar any person from attending or participating in all or any part of the Summit or events or activity, and to refuse to provide any person with access to Summit materials (if any). In the event of circumstances beyond Whatfix’s reasonable control (including but not limited to natural disasters, wars, strikes, epidemics, pandemics, or government restrictions), Whatfix reserves the right to modify, postpone, or cancel the Summit without liability.
CHANGES
Whatfix reserves the right, at its sole discretion, to modify or replace any of the Terms of Use (including any Policy) at any time. It is your responsibility to check the Terms of Use periodically for changes. Your continued use of the Website or attendance at or participation in the Summit following the posting of any changes to the Terms of Use constitutes your acceptance of those changes.
The Summit is subject to change at any time. Whatfix does not guarantee the attendance of any third party (including any speaker or presenter), or that any scheduled session, breakout, keynote, presentation or other activity will take place.
Whatfix reserves the right, including without prior notice, to make any change to the Summit or any event or program at any time for any reason (including modification of the schedule or content of, or cancellation of, any session, breakout, keynote, presentation or other activity). Whatfix is not responsible for any change to the Summit (including modification of the overall event or program, or the schedule or content of, or cancellation of, any session, breakout, keynote, presentation or other activity).
GOVERNING LAW AND JURISDICTION
These Terms of Use are governed by the laws of India. Any action, suit, or other legal proceeding, which is commenced to resolve any matter arising under, or relating to, the Summit or the Website, shall be subject to the jurisdiction of the courts at Bangalore, India.

PRIVACY POLICY
This privacy notice (“Notice” / “Privacy Notice”) explains how Whatfix Private Limited (Formerly known as Quicko Technosoft Labs Private Limited), a company incorporated in India bearing CIN U72200KA2010PTC055487 and having its registered office at 1289 / 1090e, 18th Cross Rd, Sector 3, HSR Layout, Bengaluru, Karnataka 560102 (“We” or “Us” or “Our” or “Whatfix”) processes Personal Data which We collect from you in Our capacity as a controller, where We determine the purposes and means of processing of your Personal Data.
This Privacy Notice applies to any registration for, attendance of, or participation in the Digital Adoption Summit 2025 being held and organized by Whatfix (“Summit”), and all use of the Summit website available at (“Website”).
We process information relating to an identified or identifiable natural person (“Personal Data”) in accordance with this Privacy Notice and in compliance with the relevant data protection regulation and laws. This Notice provides the necessary information regarding rights and obligations for concerned parties, and explains how, why and when we process Personal Data. By clicking ‘Register’ or ‘I Agree’ on the Website, you consent to Us collecting, using and processing your Personal Data for the purpose of Summit, and acknowledge that you have read, understood, and agree to be bound by the terms of this Privacy Notice.

If you are a data subject, Our legal basis for collecting and using the Personal Data described above will depend on the Personal Data concerned and the specific context in which We collect it. You acknowledge that We will share your Personal Data with Our affiliates / group companies and third-party service providers (including but not limited to vendors, travel agencies, hotels, cab facilities) so that they may offer you assistance in relation to attending the Summit. We conduct a due diligence on such third-party service providers prior to sharing your Personal Data with them.
We share your Personal Data with such third-party service providers only on a contract basis where such service providers assure that they are and shall be in compliance with the applicable data protection laws.
We may be required to disclose your Personal Data in response to: a) lawful requests by public authorities, including to meet national security or law enforcement requirements; b) subpoenas, court orders, or legal process, or to establish or exercise Our legal rights or defend against legal claims; and / or c) assist investigation and prevention of illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of Our Terms, or as otherwise required by law.

Websites: When you register for the Summit or any of Our events or programs, including seminars or webinars through a registration form on Our Website, We may collect information such as your name, job title, company name, city which you reside in, telephone number and work email address. Subject to this Notice, We will use such data to (i) facilitate your registration for the Summit and your attendance / participation in the Summit; (ii) send you requested information about the Summit or any other event(s); (iii) respond to your requests, questions and concerns; and (iv) send you promotional and marketing communications (where you have requested us to do so).
At the Summit: We may also capture your photographs / images or audio / video recordings during any events or activities at the Summit. Please refer to the Terms of Use for details on how we capture photographs / images or audio / video recordings.
Cookies and similar technologies: We and Our third party advertising partners use cookies, gifs, log files, web beacons and similar technologies that collect Personal Data and help Us to analyze trends, administering the website, tracking users’ movements around the site, and gathering demographic information about Our user base as a whole. COMMUNICATION
To assist you and enable your seamless attendance at and participation in the Summit, We may contact you through the email address / phone number provided by you, and through the Whatsapp communication application. By providing your email address and phone number you consent to receiving emails, phone calls and text message / calling communication on Whatsapp from Us in relation to the Summit. If you do not agree with this section, please do not provide your consent to receive emails or text message / calling communication through the Whataspp application. You can opt-out of receiving emails or Whatsapp messages / calls at any time by texting “STOP” to any Whatsapp message you receive from us or by contacting us as described in the “How To Contact Us” section.
Note: Communication consent is not shared with third parties for marketing purposes.
TRANSFER OF PERSONAL DATA
We process Personal Data in the USA and India. If your Personal Data is processed outside country, state or region, We will ensure that the recipient of your Personal Data offers an adequate level of protection, for instance, by entering into standard contractual clauses for the transfer of Personal Data as approved by the European Commission (Article 46 General Data Privacy Regulation, 2016), or We will ask you for your prior consent to such international data transfers.

Right of access: You have the right to access any Personal Data that We process about you and to request information about:

The measures Whatfix uses are designed to provide a level of security appropriate to the risk of processing Your Personal Data as specified in Our security policy. CHOICE
If Personal Data covered by this Privacy Notice is to be used for a new purpose that is materially different from that for which the Personal Data was originally collected or subsequently authorized, or is to be disclosed to a non – agent third party in a manner not specified in this Policy, Whatfix will provide you with an opportunity to choose whether to have your Personal Data so used or disclosed. Requests to opt out of such uses or disclosures of Personal Data should be sent to us specified in the “How to Contact Us” section below.
Whatfix will not use Personal data for a purpose other than the purpose for which it was originally collected or subsequently authorized by the individuals unless Whatfix has received your affirmative and explicit consent(opt-in).
GRIEVANCE OFFICER
Whatfix has appointed the data privacy officer as the grievance officer, who may be contacted at privacy@whatfix.com. You may address any grievances you may have in respect of this Privacy Notice or usage of your Personal Data via this officer.
DATA PRIVACY FRAMEWORK (DPF) PRINCIPLES
India
Whatfix is committed to protecting the personal data of individuals located in India in accordance with the Information Technology Act, 2000, including the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 (SPDI Rules), and the Digital Personal Data Protection Act, 2023 (DPDP Act).
Whatfix collects, processes, stores, and uses Personal Data for the limited purpose of organizing and operating the Summit and related activities. Personal Data is collected only with your prior, informed, and explicit consent and is used solely for the purposes disclosed at the time of collection, including facilitating registration for, attendance at or participation in the Summit, related communication, access to events and activities, feedback collection, and event analytics.
Your Personal Data may be transferred to and stored on servers located outside India, including in countries where Whatfix or its partners or service providers maintain facilities. In such cases, Whatfix ensures that the same level of data protection as required under Indian law is maintained, including through contractual obligations and technical safeguards. Whatfix implements reasonable security practices and procedures including access controls and role-based restrictions, encryption of data, regular audits and monitoring, and secure hosting infrastructure and third-party vendor assessments.
Where required under applicable Indian law, Whatfix will ensure that transfers of personal data are made in accordance with the conditions specified under the DPDP Act and any accompanying rules or government notifications.
EU-U.S. DPF
Your information may be stored, processed and/or accessed in the United States or in any other country in which Whatfix or its affiliates, subsidiaries or agents maintain facilities.
Whatfix complies with the EU-U.S. Data Privacy Framework (EU-U.S. DPF) and the UK Extension to the EU-U.S. DPF, and the Swiss-U.S. Data Privacy Framework (Swiss-U.S. DPF) as set forth by the U.S. Department of Commerce. Whatfix has certified to the U.S. Department of Commerce that it adheres to the EU-U.S. Data Privacy Framework Principles (EU-U.S. DPF Principles) with regard to the processing of personal data received from the European Union and the United Kingdom in reliance on the EU-U.S. DPF and the UK Extension to the EU-U.S. DPF. Whatfix has certified to the U.S. Department of Commerce that it adheres to the Swiss-U.S. Data Privacy Framework Principles (Swiss-U.S. DPF Principles) with regard to the processing of personal data received from Switzerland in reliance on the Swiss-U.S. DPF. If there is any conflict between the terms in this Privacy Notice and the EU-U.S. DPF Principles and/or the Swiss-U.S. DPF Principles, the Principles shall govern. In compliance with the EU-U.S. DPF and the UK Extension to the EU-U.S. DPF and the Swiss-U.S. DPF, Whatfix commits to cooperate and comply respectively with the advice of the panel established by the EU data protection authorities (DPAs) and the UK Information Commissioner’s Office (ICO) and the Swiss Federal Data Protection and Information Commissioner (FDPIC) with regard to unresolved complaints concerning our handling of personal data received in reliance on the EU-U.S. DPF and the UK Extension to the EU-U.S. DPF and the Swiss-U.S. DPF.
Whatfix is responsible for the processing of personal data it receives, under the DPF, and subsequently transfers to a third party acting as an agent on its behalf. Whatfix complies with the DPF Principles for all onward transfers of personal data from the EU, Switzerland, and UK including the onward transfer liability provisions.
For complaints regarding DPF compliance not resolved by any of the other DPF mechanisms, you have the possibility, under certain conditions, to invoke binding arbitration as per DPF guidelines. Further information can be found on the official DPF website.

In compliance with the EU-U.S. DPF and the UK Extension to the EU-U.S. DPF and the Swiss-U.S. DPF, Whatfix commits to resolve DPF Principles-related complaints about our collection and use of your personal information. EU and UK individuals and Swiss individuals with inquiries or complaints regarding our handling of personal data received in reliance on the EU-U.S. DPF and the UK Extension to the EU-U.S. DPF, and the Swiss-U.S. DPF should first contact Whatfix at: privacy@whatfix.com. Whatfix is subject to the investigatory and enforcement powers of the US Federal Trade Commission(FTC).
Accountability for Onward Transfer
If you are an EU, UK or Swiss Individual, where we transfer your personal data to third party service providers (see above) who perform services for us on our behalf, we are responsible for the processing of that data by them and shall remain liable if they process your Personal Data in a manner inconsistent with the EU – GDPR, UK – GDPR, or Swiss – FADP, as applicable, or the DPF principles referred to above, unless we prove that we are not responsible for the event giving rise to the damage.
DATA RETENTION
We retain the Personal Data collected where an ongoing legitimate business requires retention of such Personal Data. In the absence of a need to retain Personal Data as specified herein, We will either delete or aggregate it or, if this is not possible then We will securely store your Personal Data and isolate it from any further processing until deletion is possible.

If you object to any changes you must cancel your registration to the Summit and must not attend or participate in the Summit. EXCLUSIONS AND DISCLAIMER
With the exception of Personal Data collected when you register on or access Our Website, or attend or participate in the Summit, this Notice does not apply in connection with your purchase, access and use of any other products or services, or any other websites or applications offered by Us or our affiliates / group companies. This Notice specifically governs Personal Data only for the purposes of and in relation to the Summit and the Website.
Our Notice applies only to Our Website and Summit and any events or activities in relation to the Summit. If you access or use any other third-party websites or applications in relation to the Summit, you should read their privacy policy. We encourage you to review the privacy statements of any such other websites or applications to understand their Personal Data practices.
You may also interact with journalists, reporters or media representatives and other third-parties, including but not limited to, customers, sponsors, vendors and other attendees at the Summit. Any discussions, interactions or engagements between you and such third-parties during the Summit are undertaken by you voluntarily and by your own choice. You are responsible for your Personal Data and any personal information during such discussions, interactions or engagements none of which are governed by this Privacy Notice.
